Managing files in TOPdesk SaaS

Callers and operators can upload files to cards in TOPdesk. These files are for example documents that contain supplementary information concerning a call, such as screenshots or a log file.

Next to these files, there are also files necessary for the day-to-day workings of TOPdesk, such as import files, SSL certificates, images, etc.

In a SaaS workspace, you do not have access to the location where these files are stored. That is why TOPdesk offers settings to manage your own files, so that you can add and remove files without help from TOPdesk Support. You can find the these settings under Settings > SaaS Settings > Upload/Download files.

Permissions

To access these settings, you at least need the Upload/Download permission under Settings, plus either permissions for Functional Settings or one of the module settings.

Upload files
  1. Under Upload new file, click on Browse.

  2. Select the file.

  3. Click on Upload.

Deleting files
  1. Under Select file type, select the file type to which the relevant file belongs.

  2. Click on the Delete trash icon. icon behind the file name.

Downloading files
  1. Under Select file type, select the file type to which the relevant file belongs.

  2. Click on Download behind the file.

Email logos

You can upload your organization’s logos for email messages here. These logos can be accessed via https://[yourEnvironment]/emaillogo/filename.extension.

  • Supported file types: JPG, JPEG, PNG, BMP

  • Maximum file size: 4 MB

Files for use in emails, such as company logos and attachments, are managed via the File Storage Manager in the Action Management module.
